Job Description:

The Facility Manager is responsible for all facility and administrative services required to support the operations of the facility and/or property (leased or owned). These responsibilities include, but are not limited to, developing and implementing facility related policies, processes and procedures. The Facility Manager will manage the day to day facility operations and develop long term strategies to provide cost-effective, efficient and consistent standards, strategic solutions and operating procedures including the management of facility related services and resources. The Facility Manager will work in cooperation with the VP of Projects, VP of Engineering and other site specific executive management.

 Scope of Services/Responsibilities:

 Management of day to day facility operations – POC (point of contact) for all facility related issues, concerns, needs

  • Facility budget and operational cost management
  • Property Management and/or liaison to Property Management
  • Vendor management
  • General services/office support (non-secretarial, including but not limited to mail services, maintenance, receptionist, office equipment, beverage service, janitorial, etc)
  • Office standards development, implementation and compliance
  • Long term strategic solutions (sourcing/procurement, contract management, etc)
  • Space planning and moves
  • Coordination with Real Estate
  • Awareness and application of best practices as related to Facility Management
  • Security and Access
  • Facility Safety coordination in cooperation with Corporate HSE.
  • Facility Disaster Planning coordination in cooperation with Corporate HSE and site management
  • Communication as related to facility (management and employee)
  • Events: United Way, Blood Drive, etc.

 Areas of Responsibility and Service (scope will depend on facility being leased or owned): 

  • Janitorial
  • Mail Service (UPSP, UPS, FedEx, DHL, courier, etc)
  • Office Equipment (total cycle: procurement, vendor/contract management, service/supplies): copiers, faxes, plotters, generators, UPS, HVAC, etc.
  • Coffee/beverage service
  • Vending and/or food services if applicable
  • Safety (plan, fire wardens, equipment, training)
  • Emergency Preparedness, disaster planning and recovery
  • Interoffice Directory

 Responsible for business development, proposal development, sales presentations, project management, vendor relations, customer service, market development and collateral sales materials including assisting in website development.  Report to President.

ACCOMPLISHMENTS

Resurrected a lost bid, overcoming false promises and unforeseen cost issues by competitors through tenacious client relations to win back a contract for $280K, and additional orders for $80K.

 

·         Won $500K contract based on total solution rather then price (18% higher than competitor); helped contractor sell four additional units; margins increased from 10% to 22%; became preferred supplier through overcoming price, delivery, installation, and quality issues to replace air circulation equipment for a major pharmaceutical company.  Sold client on ease of installation, simplified and reduced required maintenance. Installation completed over a single weekend, thus avoiding the delays and costly laboratory moves otherwise required with our competitor’s proposal.

 ACCOMPLISHMENTS

·         Successfully transitioned from first to second generation control and ownership.  Established and implemented a business plan which more closely focused on the talents of the second generation.  Trimmed ancillary products and suppliers.  Reduced costs and increased accountability by bringing offices and warehousing together in a single building.  Restructured support staff by training two new administrative and three new sales people.  Increased sales by $1.9 million over three years while increasing profits by 10% over the same time period.

·         Conceived and implemented a diversification strategy to reduce dependence on a single customer.  Grew new business by 20% first year and by 15 – 18% each year from 1997 to 2001.  Increased sales to existing customers by 10% during the same period; reduced dependence on the single account from 80% of total sales to 35% and 85% of total profits to 30% by 2004.

·         Through well developed supplier relationships, we overcame a project oversight for unordered equipment by the contractor.  Negotiated with the manufacturer to expedite the equipment to meet original schedule.  Avoided production losses of $200,000 per day and zero penalties.

·         Facilitated a meeting between installing contractor and owner concerning a fire which shut down production.  Worked as a team to establish steps to get system back on line within 24 hours.  Owner lost production for only one day.  Contractor was impressed by how the situation was diffused and rewarded us by increasing purchases by 35% and our margins grew by 10%.
